The Challenge

Visibility wasn’t the whole problem.

The digital marketing industry is crowded. Agencies offer similar services, compete for the same searches, and promise more traffic and more leads. We recognized that competing within that status quo would only take us so far.

We also recognized something about our own positioning: we couldn’t be everything to everyone. We needed a clearer focus on the businesses we could help, the problems we could solve, and the market we wanted to reach. That included strengthening our positioning around web design in Charlotte, NC and connecting our services to the business outcomes buyers were looking for.

That meant looking beyond our website and advertising. We needed to understand the full path from someone discovering Synchronicity to becoming a client.

What happens after the lead?

A form submission is a starting point. Business growth also depends on what happens next: how an inquiry is recorded, who follows up, whether the prospect is a good fit, and how the opportunity moves toward a sale.

We began asking deeper questions. Was our CRM giving us a useful picture of the pipeline? Were we attracting the right types of prospects? Where was follow-up breaking down? Which activities could contribute to a positive return?

Those questions changed our approach. Instead of treating marketing and sales as separate activities, we started treating growth as a connected system.

Two Connected Search Priorities

Organic search and AI visibility, working together.

Our search strategy addressed two ways buyers discover businesses: traditional search engines and AI-assisted research.

For organic search, we focused our effort on relevant Charlotte-area terms. For AI search visibility, we researched the questions potential customers ask when looking for help and used those questions to guide our content.

We pursued this approach with limited paid advertising. The goal was to build discovery and demand while reducing our dependence on continually buying attention.

The Results

Fewer inquiries. A higher proportion recorded as leads.

Comparing the reported quarter with the same quarter a year earlier, form submissions and recorded leads both declined. However, the ratio of recorded leads to submissions increased. That distinction matters when evaluating performance beyond raw inquiry volume.

Lead-to-submission ratio is calculated by dividing reported leads by reported form submissions. This comparison assumes consistent tracking definitions across both periods; it does not measure lead quality, closed sales, or revenue.

The lead-to-submission ratio increased by 10.9 percentage points; a useful signal to investigate alongside prospect fit, closed business, acquisition costs, and revenue.

The Lesson

Growth takes more than a campaign.

We began this work in March and developed the approach over approximately five months. It required focus, research, implementation, and ongoing review.

Applying the process to our own business gave us a practical foundation for helping other companies examine their growth challenges—from being found to managing the opportunities that follow.
